RegFlow is a registration workflow that allows you to customize the registration experience for your event by adding an application process or enabling a waitlist. It includes comprehensive invite management tools to help you streamline recruitment for events with high-demand registration, such as charity bib races or endurance fundraising.
When RegFlow is enabled, you will be able to:
Collect applications through a custom application form you create
Evaluate and rank applications
Invite top applicants to register for your event with a unique invite code
Allow interested participants to complete an interest form to join a waitlist if tickets are sold out (coming soon!)
Message applicants via your campaign's Message Center
RegFlow gives you a structured way to collect applications, evaluate candidates on your own criteria, and rank your top prospects before sending them invites to register. As spots fill or fall through, you'll be able to move down your list of prospective participants so every slot goes to someone you chose deliberately.
Combined with Pledge It's other tools that let you limit ticket capacity, set minimum fundraising commitments, and track fundraiser progress, you'll have everything you need for your event in one dashboard.
When to enable RegFlow
RegFlow is designed with charity bib races and endurance fundraising in mind, but it can be used to support any event where registration is limited and in high demand. It has two key features:
Applications can be used in any scenario where you want to vet applicants before inviting them to claim a spot. This gates your tickets behind an application form that interested participants must complete.
Waitlist can be used to make sure you can continue to recruit even after your tickets are sold out, allowing you to grow your audience of interested participants.

Using Applications in RegFlow
The application feature allows you to select which tickets on your event will be gated behind an application form. Participants will be required to fill out the application form before they can be invited to register.
Note: The application feature is applied at the ticket level. You can have multiple tickets on your campaign: some with an application process and some available for immediate purchase.
Admin Experience
The following steps outline what admins will need to complete to use RegFlow's application feature successfully:
Customize your campaign's registration by adding tickets, setting any capacity limits or fundraising commitment deadlines as needed
Indicate which tickets on your campaign will require an application
Customize the application form that participants will fill out
Application Submission email (sent to those who apply)
Applicant Invite email (sent to those you invite to claim their spot)
Promote your campaign and begin encouraging applications
Monitor pending invites and successful registrations in your RegFlow dashboard and, if need, message applicants (invited or uninvited) from your campaign's Message Center
Note: Once participants are registered on your campaign, they will become active participants you will be able to monitor under your campaign's Recruit dashboard. If using minimum fundraising commitments, your Commitments dashboard will allow you to easily track their progress towards their fundraising commitment.
Applicant Experience
The following steps outline what your applicants can expect when applying to participate in your event:
Applicants will visit your campaign, select which ticket they'd like to submit an application for, and complete the required application questions.
Once their application is submitted, they will see a message confirming they applied and receive the Application Submission email. They can submit another application for a different ticket if you have multiple options available.
If invited to register, they will receive the Applicant Invite email with instructions about how to claim their spot. This email will include details about when their invite expires, if you set an expiration on the invite.
Invited applicants will return to your campaign and enter their unique invite code, which will unlock their ticket and allow them to complete the registration and make any required payment.
Registered participants will receive your campaign's Order Receipt. If joining a P2P In-Person Event campaign, they will also receive a customizable fundraising page and your campaign's Fundraiser Welcome Email.

What is endurance fundraising? What are charity bib races?
Endurance fundraising is a form of peer-to-peer fundraising where participants sign up for a competitive race or event (such as like a marathon, cycling race, triathlon, or long-distance hike) while fundraising for a nonprofit organization. Because many endurance events require advance planning and logistical coordination, there is often a minimum fundraising commitment where participants must raise a certain amount of money in order to participate.
Charity bib races allow participants to receive entry into highly competitive, limited-space endurance events. These events are often sold out out to the general public, but nonprofits can apply to receive a limited number of bibs for their organization to give to supporters. Interested participants can apply to participate and in exchange for a bib and guaranteed race entry, participants must fundraise a minimum amount of money for the nonprofit.
RegFlow is designed with endurance fundraising and charity bib races in mind to help create a seamless experience from application through race day.
I want to offer a limited number of tickets to my event. Do I have to use RegFlow?
No. You can set a limit on your tickets without using RegFlow. When adding or editing tickets, you will see the option to set a ticket limit that will prevent you from overselling a ticket. RegFlow would only be needed if:
You wanted to put those tickets behind a gated application, only allowing applicants you invite to register with that ticket.
You want to have interested participants join a waitlist after your ticket sells out.
Do I have to enable RegFlow before launching my campaign?
If using the application feature, then ideally yes. The application feature cannot be enabled on a ticket that already has registrations. If you decide mid-campaign to put your ticket behind a gated application, you will need to create a new ticket that the application is applied to and disable your existing ticket to prevent additional registrations.
Can I get updates about new applications or when applicant invites expire?
Yes. Turn on the Daily Campaign Digest to subscribe to notifications for your campaign. The digest includes a recap of the last 24 hours of activity, including new applications and expired invites.
