Using the RegFlow Dashboard

Manage incoming application or waitlist submissions, review and rank submissions, and send invites from one cohesive dashboard

Note: RegFlow is specific to P2P In-Person Event and In-Person Event campaigns.

When using RegFlow, a dashboard summarizing application submissions and/or waitlist submissions will be accessible via the left side menu of your campaign. This dashboard has four tabs that you can work through when reviewing submissions and inviting interested participants:

As you receive and review submissions, applicants or waitlisted guests will "flow" through the tabs in your RegFlow dashboard. This article will review how to navigate each tab within the RegFlow dashboard to help you monitor your recruitment progress at a glance.

Overview

The Overview tab summarizes your application submissions or waitlist submissions at a glance.

When using Applications, you'll see the number of registered participants, pending invites, and expired invites for each ticket being managed. There will be a visual indicator of recruitment progress and how many spaces are remaining if a limit is in place.

When using Waitlist, you'll see any tickets that have triggered the waitlist. Color-coded numbers will indicate the number of guests on the waitlist and the number of open spaces available for that ticket.

Note: Only tickets being managed with RegFlow will be shown here. You may have other tickets on your campaign that are not using the Application or Waitlist features that will not appear in the RegFlow dashboard.

Tip: Applications and Waitlist can be used on the same campaign, but they cannot be used on the same ticket type. Anything gated behind an application stays an application, regardless of your capacity limit.

Needs Review

The Needs Review tab shows you submissions that were received that need your attention. A submission will move out of the Needs Review tab when:

  • A ranking is applied (moving the submission to the Reviewed tab)

  • An invite is sent (moving the submission to the Invited tab)

Icons will note if the interested participant is a returning participant that has fundraised for your organization on Pledge It before or if an admin with your organization has placed any notes on their submission. Clicking on an interested participant's name will open their submission.

Tip: If you're using RegFlow for multiple ticket options, you can use the Ticket filter to view submissions for select ticket types. Interested participants are able to submit more than one application or waitlist submission, so you may see duplicate names on this list if someone has expressed interest in more than one ticket.

Reviewed

The Reviewed tab shows you the ranking of application or waitlist submissions, sorted into High, Mid, and Low categories that are color-coded. Assigning rankings to submissions is optional. If your team has a wide variety of application or waitlist submissions to review and sort through, this feature can help you surface the most qualified participants.

If a ranking is applied, the Reviewed tab will sort ranked submissions into the High, Mid, and Low categories for easy browsing. Categories you'd like to hide can be collapsed. You can also drag-and-drop submissions to quickly adjust their ranking. Clicking on an interested participant's name will open their application or waitlist submission, where you can send them an invite.

Tip: The Availability section at the top of the page will tell you how many spots are available for each ticket being managed with RegFlow, so you can see at a glance how many interested participants you have room to invite. The Reviewed tab can also be filtered by ticket type.

Invited

The Invited tab shows you a summary of submissions for interested participants that were invited to register on your campaign, along with the status of their invite (Registered, Pending, or Expired). Pending or Expired invites can be revoked at any time.

Applicants or waitlisted guests that have successfully registered become participants in your campaign. When you click on their submission, you will be able to jump to their active participant snapshot, where you can see their registration details and monitor their fundraising progress (if applicable).

Tip: You can use the Message Center to easily contact applicants or waitlisted guests with Pending or Expired invites. Learn more about messaging RegFlow audiences.

Frequently Asked Questions

Can I get updates about new application submissions, waitlist submissions, or expiring invites?

Yes. Turn on the Daily Campaign Digest to subscribe to notifications for your campaign. The digest includes a recap of the last 24 hours of activity, including new application submissions, waitlist submissions, and expired invites.

How can see all my submissions in RegFlow, invited or not invited?

You can download the RegFlow report under the Reporting dashboard or by clicking Download in the top right corner when in your RegFlow dashboard. This report includes all submissions (for Applications or Waitlist), including contact info, status, rank, invite details, and form responses.
