If fundraising commitments are in use on your event, you have the option to charge the credit card a fundraiser has placed on file to cover their commitment, in accordance with any fundraising deadlines your organization has set.
When issuing a commitment charge, you determine the amount that will be charged to their card. You have the flexibility to charge a fundraiser for a portion of their commitment (to cover a 50% deadline, for example), their full commitment, or an amount higher than their commitment.
Note: Charging overdue commitments is optional. Fundraisers are not automatically charged anything upon the deadline. You decide if and when you initiate a charge.
Steps
Visit your campaign’s Dashboard.
Under the Raise tab, scroll down to your Donations table and select the Commitments tab.
A table showing all fundraisers with a fundraising commitment will appear. Use the filter to quickly see participants that are categorized as Overdue, or search for the participant whose commitment you would like to charge.
Click on the participant’s name. A check in modal will open and display their Fundraising Commitment progress. Under the Commitment Charges section, select Create Charge.
The amount of their remaining balance will appear for easy selection. If you need to charge the fundraiser for more or less than their remainder, you can enter a custom charge amount.
After selecting an amount to charge, click Submit to issue the charge.
You will see a confirmation that the payment was successful. The fundraiser will receive an email receipt documenting their donation that also includes a summary of their commitment status. If there are still funds remaining for their commitment, the remaining balance would be documented in the email receipt, as seen below:
Note: If the charge fails, you will be notified immediately and the fundraiser's status will flip from Overdue to Needs Attention. The fundraiser will receive an email notifying them their commitment charge failed with instructions for uploading a new credit card.
Frequently Asked Questions
Can I charge someone’s card before the deadline?
Yes. Charges can be initiated at any time, but we only recommend taking this step if you have communicated directly with the fundraiser, as doing so would go against the waiver and deadline you had them agree to. If they have requested you simply charge them to fulfill their commitment in advance of a deadline, you can do this by following the same steps above.
Some of my participants are marked as Not Accepted. Am I still able to charge them?
No. If a participant is marked as Not Accepted, it is a sign that they were registered for your event by someone else and have not taken the steps to complete their registration, place a card on file, and claim their fundraising page. This means they did not input a credit card on file or agree to the fundraising commitment waiver. We highly recommend reaching out to these individuals well in advance of the fundraising commitment deadline to confirm their participation and ensure they follow the steps to complete their registration. You can re-send their invite email, which includes instructions and a link to complete their registration.
