Understand the breakdown of the Paid Transaction Report

The Paid Transactions report is the primary reporting tool to understand financial details of a paid transaction including payment method (card, check, cash), payment date, gross and net values, covered fees, and other transaction data. The report can be exported for a single campaign or multiple campaigns.

The Paid Transactions report is helpful to:

  • See all paid contributions made to your campaign, regardless of payment method (card, cash, check)

  • Map financial details from the Paid Transactions report, like gross and net values, to specific details collected during the transaction, like custom questions asked to a donor (on the Donations report)

  • See financial details of all paid transactions, like gross and net values, and monitor how many supporters are covering fees and the associated amounts

  • Reconcile transactions with your payment processor

What's Included in the Paid Transactions Report

Includes:

Excludes:

  • All paid transactions, regardless of payment method (card, cash, check, other)*

  • Transactions with a $0 total, such as free tickets or registration.

  • Unpaid and failed transactions.

  • Pledges with a $0 total due to no activity tracked by the fundraiser.

  • Participants registered using the Event Day > Check In modal.

  • Canceled donations if the transaction type is a donation.

  • Deleted transactions.


Report Breakdown

Field Name

Field Description

Campaign or Program ID

The unique ID for the campaign or program that the transaction is associated with.

Campaign ID Format:

camp-[unique number]

Program ID Format:

prgm-[unique number]

This field will use the Program ID format when the donation is made directly to the program and not to an individual campaign.

Campaign or Program Name

The name of the campaign or program that the transaction is associated with.

This field will use the Program ID format when the donation is made directly to the program and not to an individual campaign.

Pledge It Transaction ID

The unique ID that is assigned by Pledge It for the transaction. All transactions will be assigned a Pledge It Transaction ID.

Processor Transaction ID

The unique ID provided by the payment processor.

This ID is only applicable to card payments, and will be blank if the payment method is cash, check, or other.

Type

The transaction type identifies the checkout method used to complete the transaction, and will be one of the following types:

  • Donation

  • Order

  • Raffle

  • Registration

  • Silent Auction

  • Sponsor

First Name

The first name of the buyer.

Last Name

The last name of the buyer.

This field may be blank if a last name was not provided when adding a manual donation entry using Offline Donation.

Email

The email of the buyer.

This field may be blank if:

  • A manual donation entry (using Offline Donation) was added.

  • A ticket was claimed as part of a sponsor or ticket bundle from the admin dashboard and an email was not provided.

Status

The payment status of the transaction. For this report, all transactions will have a paid status.

Payment Method

The payment method used by the buyer, and will be one of the following methods:

  • Card

  • Cash

  • Check

  • Cash/Check

  • Other

This field will be blank for transactions with a $0 total.

Card Brand

The brand of card used for the transaction. Example: Visa

This field is only applicable to card payments, and will be blank if the payment method is cash, check, or other.

Last Four

The last four digits of the card used for the transaction.

This field is only applicable to card payments, and will be blank if the payment method is cash, check, or other.

Other Payment Info

Information entered in the Other Payment Info field from the admin dashboard when a cash or check payment is used.

This field is only applicable to cash, check, or other payments, and will be blank if the payment method is a card or the field was not populated.

Gross

If donor cover fee is enabled:

The total amount of the transaction paid by the supporter, including any transaction fees covered by the supporter.

If tipping is enabled:

The total amount of the transaction paid by the supporter minus any tip made to Pledge It.

Net

The total amount of the transaction paid by the supporter minus processing and platform fees. This is the amount your organization will receive for this transaction.

Fees Covered

This field answers the question, "Did the supporter cover fees for this transaction?"

The field value will be one of the following options:

  • Yes: The supporter was presented with the option to cover and decided to cover fees.

  • No: The supporter was presented with an option to cover and decided to not cover fees.

  • N/A: The supporter was not presented with the option to cover fees. For example, the payment method used was a check and fees are not applicable.

Fees Covered Amount

The total amount of the fees covered by the buyer.

Donations

The sum of donations in the transaction.

This field will always have a value, and will appear as 0.00 when there are no donations in the transaction.

Tickets

The sum of tickets in the transaction.

This field will always have a value, and will appear as 0.00 when the ticket or registration cost is free or there are no tickets in the transaction.

Auction Items

Either the cost of a Live Auction or Silent Auction winning bid in the transaction.

This field will always have a value, and will appear as 0.00 when there is no winning auction bid in the transaction.

Shop Products

The sum of shop products in the transaction.

This field will always have a value, and will appear as 0.00 when there are no shop products in the transaction or if the shop product was canceled (see Understanding the Impact of Cancellations for more details).

Raffles

The sum of raffle entries in the transaction.

This field will always have a value, and will appear as 0.00 when there are no raffle entries in the transaction.

Sponsorship

The cost of a sponsorship package in the transaction.

This field will always have a value, and will appear as 0.00 when the sponsorship package is $0 or when there is no sponsorship package in the transaction.

Misc Items

The sum of miscellaneous items in the transaction.

This field will always have a value, and will appear as 0.00 when there are no miscellaneous items in the transaction.

Date Added

The date the transaction was initiated.

Payment Date

The date payment was submitted for the transaction.

Phone

The phone number collected from the buyer, the individual who completed the transaction, during the checkout process.*

Address 1

The address collected from the buyer (the individual who completed the transaction) during the checkout process.*

Address 2

The address collected from the buyer (the individual who completed the transaction) during the checkout process.*

City

The address collected from the buyer (the individual who completed the transaction) during the checkout process.*

State

The address collected from the buyer (the individual who completed the transaction) during the checkout process.*

Country

The address collected from the buyer (the individual who completed the transaction) during the checkout process.*

Postal Code

The address collected from the buyer (the individual who completed the transaction) during the checkout process.*

*Contact information fields, including phone and mailing address:

  • May be blank if:

    • The field(s) was set to optional or disabled for the specific checkout experience at the time the transaction was completed. Learn more about each checkout experience here.

    • The field(s) was not provided when completing an order using the admin terminal.

  • Will be blank:

    • For donations manually added using Offline Donation.

Understanding the Impact of Cancellations

There may be times when you need to cancel an item for a supporter, and the following outlines the impact of this action to the Paid Transactions report.

  • If the paid transaction type is an order, the transaction will always appear on the Paid Transactions report, regardless if some or all items from the order have been canceled.

    • If a Donation or Shop Product is canceled from the order, the gross and net values will reflect the original transaction, and the category-specific column will deduct the value of the canceled item.

  • If the transaction, regardless of type, includes a ticket that is later canceled or the fundraiser permanently deleted, all values will reflect the original transaction values.

  • If the transaction type is a donation, and the donation is canceled, the transaction will no longer appear on the report.


Frequently Asked Questions

Why does the Paid Transactions report not match the raised value on my admin dashboard?

The raised value on the admin dashboard includes transactions that are paid, open, and failed. The Paid Transactions report focuses solely on paid transactions. Below are definitions of each status.

Paid Transaction

Paid transactions are contributions to your campaign where the payment method was successful.

Open Transaction

Open transactions are contributions to your campaign that are unpaid. Examples of when this can happen include an open pledge that will be charged once activity is finalized, an open tab, or an unpaid sponsor.

Failed Transaction

Failed transactions are contributions to your campaign where the payment method used is a card and the payment was not processed successfully. Examples of when this can happen include payment for an open tab, a recurring donation, or a pledge.

Why are the contact information fields (phone, address 1, address 2, etc.) blank for a transaction in the Paid Transaction report?

Common reasons for blank fields in the Paid Transaction report include:

  • The setting was set to disabled for the specific checkout experience at the time the transaction was completed so the field was not shown to the individual.

  • The setting was set to optional for the specific checkout experience at the time the transaction was completed, and the individual did not provide a response.

  • The transaction was completed using the dedicated raffle checkout experience, and phone and mailing address is not collected.

  • The transaction was completed using the admin terminal and fields were not populated during checkout.

  • The transaction was for a donation that was manually added using the Offline Donation function.
