Seamlessly check in attendees at your event

Note: This feature only applies to In-Person Event or P2P In-Person Event campaign types.

If you are hosting an event on Pledge It, your campaign’s Dashboard will feature additional tools to help you manage event day logistics, such as check in. This tool allows you to search for participants, view a summary of their registration, and quickly check them in with the click of a button.

Event check in adapts to the features you've enabled on your campaign:

  • If you are using the Sponsors feature, ticket bundles, or table seating tool, the check in feature will also display "Guest of" affiliation and notify you which table an attendee is assigned to.

  • If you have fundraising commitments enabled on your P2P In-Person Event, you will see a tab for Commitment when checking someone in, allowing you to view their fundraising progress and waive or charge their commitment.

  • If you are selling Shop products, you will be able to view items someone has purchased on their order and mark them as fulfilled.

  • If you are selling raffle entries, you will be able to confirm the number of raffle entries affiliated with their order.

Steps

  1. Visit your campaign’s Dashboard.

  2. Select Event Day on the left side menu.

  3. Under Check In, use the search bar to filter results by name or email. You can also search by guest of and table assignment if applicable.

  4. After locating the attendee, click on their record to bring up a summary of their registration. Click the Check In button to mark them as present. If needed, toggle between the provided tabs to view more about their registration and additional components of their order.

Note: The information you see at check in will depend on the features you have enabled on your campaign. If there is no fundraising commitment required for a participant, the Commitment tab won't appear. If the Shop or Raffle features are enabled, viewing the Order tab will also show any raffle entries or Shop purchases on their order that can be fulfilled at check in.

Frequently Asked Questions

Does checking someone in trigger a notification to the participant?

No. There is no email notification triggered when checking in a participant. This feature is intended to help your organization monitor attendance internally.

I accidentally checked in the wrong person. Can I undo a check in?

Yes. Simply click the “Checked In” label again to switch their status.

Is the check in search case sensitive?

The search function on the check in table is a smart search and does not require that you spell someone’s name accurately or use capitalization. Begin typing and it will automatically start filtering your results, including partial matches based on similar spellings. The search field will search across participant names, sponsors, and table names.

Can I export my attendee list?

Yes. Visit your campaign's Dashboard, select Reporting from the left side menu, and download your Participant report. This report includes a column for attendance and will reflect who has been checked in or not at your event.

Why am I not seeing the Shop items or raffle entries listed for a participant when checking them in, even though I know they made a purchase?

The Event Check In feature will only show items affiliated with a participant's initial registration. If they returned and bought Shop items or raffle entries on a separate transaction at a later date after signing up, those items will not be listed as part of their order at Event Check In. You can still mark their Shop items as fulfilled by visiting the Sold Products tab and searching for their name.
