Add internal notes to a participant's record to keep track of important details

When managing participants on your campaign, you can create internal notes to document important details about a participant. These notes are not visible to participants and can only be seen by admins.

Why use notes? Notes can help you track conversations you've been having with participants about their plans and involvement in your event, or help document relationships and connections to your mission that may be helpful for other admins to be aware of.

Add Note via Participant Snapshot

  1. Visit your campaign's Dashboard.

  2. Navigate to the Recruit tab and scroll down the Participants table.

  3. Search for the participant you need to make a note about and click on their name to open their participant snapshot.

  4. Select the Notes tab from the top menu, then click Add Note.

  5. Enter any information you want to document and click Save.

Note: When notes are added, the date of the note entry will be displayed and the name of the admin who logged the note will be listed. Notes display from newest to oldest. Notes can be edited as needed, but editing a note does not change the date initially logged.

Add Note at Check In

  1. Visit your campaign's Dashboard.

  2. Navigate to Event Day on the left side menu.

  3. Search for the participant you are checking in and click on their name.

  4. In the check in modal that appears, any existing notes will be visible on the right side menu. Click Add Note to create a new note.

  5. Enter any information you want to document and click Save.

Frequently Asked Questions

I had previously entered notes for a participant using the minimum fundraising commitment tool. Will those notes still exist?

Yes. The notes feature was initially limited to the minimum fundraising commitments tool. Any notes you previously entered will automatically roll over to new Notes tool, which can now be utilized across any participant record. Because the previous feature did not track the date of note entry, previous notes on a participant's record will default to the date the participant registered. New notes added with the updated tool will use the date the note was created.
