Schedule ticket availability

Schedule tickets to release on dates of your choosing

Updated over 2 months ago

Note: The ability to schedule ticket availability is limited to In-Person Event or P2P In-Person Event campaign types. Virtual Challenge or standard Peer-to-Peer campaigns can only schedule the Join button to disable on a set date.

When creating a ticket or ticket bundle, you will have the option to set the start date or end date for the ticket or ticket bundle's availability. This feature can be helpful if you are coordinating early bird registration or if you need to close registration for select tickets at a certain deadline.

Steps

  1. Visit your campaign's Dashboard.

  2. Select Settings on the left side menu, then select Registration.

  3. Under the Ticket tab, find the ticket or ticket bundle you would like schedule and click the Edit icon.

  4. A pop-up will appear where you can configure settings for the ticket or ticket bundle. Navigate to the Settings tab within the pop-up.

  5. Under the Availability section, adjust the toggle labeled Schedule Ticket Sales to turn it on.

  6. A date picker for Start Date and End Date will appear. Enter the date you need the ticket or ticket bundle to turn on (start date) or turn off (end date). It is not required to enter a date in both fields unless your scheduling needs require it.

  7. Click Save when complete.

Scheduled tickets are labeled with a small clock icon in your Dashboard. If the clock icon is green, the ticket is within the scheduled window and can be used. If the clock icon is gray, the ticket is outside the scheduled window and cannot be used.

In the below screenshot, only the Early Bird Registration ticket would display at registration. The General Registration ticket would remain unavailable until its scheduled release time.

Note: When viewing your tickets, you will also see the option to disable tickets from public purchase by adjusting the toggle. We do not recommend that you disable scheduled tickets that you want to be available publicly on their release date, as disabling them will prevent the ticket from appearing at registration.

Frequently Asked Questions

What time of day do ticket scheduling changes take effect?

Ticket scheduling changes take effect at midnight and reference the time zone indicated on your campaign. For example, if you set a ticket's start date for August 15, that ticket's sales will go live at 12:00am on August 15. If you set a ticket's end date for August 15, that ticket's sales will close after 11:59pm on August 15.

Can I change the dates for my scheduled ticket sales after initially setting them up?

Yes. You can return and change the start or end date of your scheduled tickets at any time, even after those dates have passed. Follow the same steps above to make any changes or adjustments to your ticket scheduling.

Are the dates of my scheduled ticket sales displayed publicly at registration?

No. You will need to communicate important registration deadlines to your audience. You have several options for accomplishing this:

  • Use the ticket description for each ticket to include the purchase deadline.

  • Use the provided Registration Instructions field to communicate your ticket schedule. Visit Settings > Registration to modify the Registration Instructions.

  • Add custom content to your campaign page to share more about your ticket schedule.
