Note: Participant Event Numbers are specific to the In-Person Event campaign type.
A Participant Event Number, similar to a bidder number, is a unique ID number that can be assigned to event participants to help you manage and track their contributions during your event.
By default, Participant Event Numbers are turned off until enabled, as you must choose your numbering preference when turning this feature on. Any changes to Participant Event Number settings will only be applied to new registrations. You will be able to assign a Participant Event Number to any participant without one.
Enable Participant Event Number
Visit your campaign's Dashboard.
Select Settings on the left side menu.
Under General Settings, navigate to the Event tab and scroll down to the Participant Event Number section.
Choose between Off, Automatic, and Manual.
Off keeps this feature disabled.
Automatic will require you input a starting number, with all participants being assigned numbers as they register, beginning from the number you enter. You will still be able to edit the numbers assigned to participants if needed.
Manual enables the ability to add a Participant Event Number for all participants, but does not assign them.
Click Save when complete.
Edit or assign Participant Event Number
Participant Event Numbers can be edited on each participant's profile in advance of your event or during Event Day Check In.
Edit via Participant Profile
Visit your campaign's Dashboard.
Navigate to the Recruit tab and scroll down to the Registered Participants table.
Use the search bar to find the participant whose Participant Event Number you need to assign or edit and click on their profile.
Click on Edit in the top right corner above their name.
Navigate to the Event Day section and assign a number or edit the existing number.
Click Save when complete. If the number you are attempting to enter is already in use, you will be notified.
Edit via Event Day Check In
Visit your campaign's Dashboard.
Select Event Day from the left side menu.
Under Check In, use the search bar to find the participant whose Participant Event Number you need to assign or edit and click on their name.
A pop-up will appear where you will see more information about their registration and the order they are affiliated with, along with their ticket type and event number.
Click the plus sign (+) to assign their number or click the Edit icon to edit the existing number.
Click Save. If the number you are attempting to enter is already in use, you will be notified. From here, you can close the pop-up or proceed with checking the participant into your event.
Note: During check in, you are also able to place a credit card on file for participants, fulfill Shop orders, and more. Learn more about checking in attendees.
Searching by Participant Event Numbers
Once this feature is enabled, you will be able to search for participants via their event number to quickly find them in the system. This can be particularly helpful when checking out attendees at the close of your event or managing a participant's tab.
At Check Out
Visit Event Day on the left side menu, then select Check Out and use the provided search bar to enter a participant event number, quickly pulling up their tab to add more items, check them out, or put a credit card on file (if not provided at check in).
When Creating an Order
Click Create > Order from your main Dashboard, Orders, Shop (if enabled), or Raffles (if enabled). You will have the option to manage a tab for any registered participant and can search via their Participant Event Number or their name.
Frequently Asked Questions
Are Participant Event Numbers included in my reports?
Yes. The Participant Report will include a column that shows the event number that has been assigned to participants. It will be blank if no event number has been assigned yet.
What's the difference between automatic or manual assignment of event numbers?
Automatic numbering will preassign a number to your participants in the order they register, ensuring every participant has a pre-assigned number that could be included with their event materials, printed on their name tag, or shared with them at Event Day Check In.
Manual numbering gives you the option to assign numbers as needed or upon arrival. This could be done at anytime or during the Event Day Check In process. If you are planning to provide participants with numbers as they arrive at your event, you may want to choose this option so you can log the number of the program or paddle that you hand them at check in.

Can the same Participant Event Number be assigned to family members or partners?
No. Each Participant Event Number can only be assigned to one person.
